Manage Enrollment and Participation
One of the most important tasks for child care centers is properly managing the enrollment of children and their participation in the food program. The enrollment and tracking features in Minute Menu CX speed up the process of enrolling children and increase the accuracy of your participation records.

Minute Menu CX’s income eligibility tools categorize each enrolled child as FREE, REDUCED, or PAID based on federal poverty rates. Income information is entered directly into the software, and alerts will remind users when it is time to request updated income eligibility information from parents.

Minute Menu CX allows Centers to quickly note attendance and meal counts by child directly in the system using the cx2go mobile app or a computer.  If teachers don’t have access to the cx2go mobile app or a computer, they can use weekly printed forms that can be scanned into the software for processing. Entering the information electronically or scanning in the paper forms means fewer mistakes and increased accuracy.

With Minute Menu CX you can:

  • Generate classroom rosters and print attendance worksheets for teachers.
  • Note attendance as children walk through the door.
  • Note which meals each child is served – breakfast, AM snack, lunch, PM snack, dinner, evening snack.

Meal Planning

Manage Menus and Food Purchases
Attendance and meal count information entered into Minute Menu CX carries over into other parts of the software to help you estimate attendance and plan meals and food purchases accordingly. Centers can plan and publish weekly or monthly menus, taking into consideration food types needed and any special requirements for specific children. Reporting features provide valuable data for Centers and Sponsors after meals have been served and counted.

Minute Menu CX has a database of over 3,000 food items including items from the Food Buying Guide to choose from when planning meals and menus.

With Minute Menu CX you can:

  • Plan meals.
  • Plan and publish weekly or monthly menus.

Financials

Track Receipts and Expenses
Sponsors can manage finances for multiple centers using the receipts and expenses tracking features in Minute Menu CX. Centers enter receipts using either the Quick Entry or an Itemized Entry options, and then Sponsors can verify the information. All receipts must be associated with a vendor, which allows Sponsors to determine and manage approved vendors. Sponsors can run the Non-Profit Status Report to verify Centers are running a non-profit food program. Sponsors can issue check or direct deposit payments to Centers using Minute Menu CX, or simply mark claims as paid if using a separate program to generate payments.

With Minute Menu CX:

  • Sponsors can determine and manage approved vendors.
  • Centers enter receipts, which must be associated with an approved vendor.
  • Sponsors verify receipts and expenses using Minute Menu CX.
  • Sponsors can verify non-profit status of Center’s food program.
  • Generate check or direct deposit payments for Centers.
  • Create a payments export file to be used with QuickBooks or other accounting software.

Independent Centers also benefit from the receipts and expenses tracking features in Minute Menu CX. The Center administrators can determine and manage approved vendors, verify receipts and expenses, and audit their Center to verify non-profit status.

Claims

Submit and Process Claims
Errors in claim processing can be costly for Sponsors and Centers. Minute Menu CX has sophisticated claims processing functionality that provides Centers and Sponsors opportunities to correct costly errors prior to submitting claims for reimbursement. Over 75 USDA edit checks are applied during the processing of all claims in Minute Menu CX to help ensure your food program is in compliance with federal and state guidelines. The claims process generates an error report that Sponsors and/or Centers can use to fix mistakes prior to submission.

Minute Menu CX:

  • Uses attendance and meal count data during the claim submission process.
  • Calculates total counts for each meal category (breakfast, AM snack, lunch, PM snack, dinner, and evening snack)
  • Generates an Average Daily Attendance broken down into Free / Reduced / Paid numbers based on state rules.
  • Generates error messages for any meals claimed in error, and automatically disallows that meal.
  • Allows Centers and Sponsors to correct costly errors and re-process the claim prior to submission for reimbursement.

Site Reviews

Plan, Conduct, Record Reviews
Child Care Centers must be reviewed according to specific federal guidelines to remain in compliance. Minute Menu CX helps Sponsors plan, conduct, record, and otherwise manage the process of regularly reviewing Centers. Sponsors can assign Centers to specific monitors, and monitors can use Minute Menu CX on a laptop to record information while conducting the review. Review reports can be generated for Sponsor use, and review data can be exported into Excel.

With Minute Menu CX Sponsors can:

  • Assign Centers to a specific Monitor.
  • Set Review start month and next visit due date.
  • Generate reports for Monitors to schedule upcoming announced and unannounced reviews.
  • Set frequency of reviews and review types.

Minute Menu CX Implementation

While our implementation process officially begins with a signed contract and initial payment, Minute Menu implementation managers begin planning your transition as soon as you verbally commit to becoming a Minute Menu customer. Once initial payment is received, we will work with you to design your implementation plan and timeline. Your implementation manager will communicate the steps involved in the implementation process including:

  • Install software and scanners
  • Develop food list
  • Perform set up tasks
  • Convert and import pre-existing system data
  • Set system policy preferences
  • Select a group of providers to pilot-test the software
  • Train staff and perform internal testing
  • Switch to Minute Menu CX in office
  • Train a group of centers to pilot-test processing claims using CX
  • Process first automated claims; review and test claims
  • Train Centers on CX/forms during Group Trainings and/or on-site monitoring/Reviews 
  • Process first and second automated claims
  • Process first, second, and third groups of automated claims

The transition to Minute Menu CX is complete when all centers are processing claims using CX. The timeframe for reaching this point can vary depending on each client. An implementation specialist can provide a specific timeline based on your company’s needs.

Preparing to Transition

Adopting a comprehensive CACFP management information system like Minute Menu CX is a large task, but well worth the time and effort. Minute Menu has helped over 300 sponsors across the country streamline their CACFP operations. We know the challenges of transitioning, and are prepared to make the process as smooth as possible. 

Once you have committed your organization to the Minute Menu system, we immediately begin working with you to ensure that the system meets your exact needs. Initially, this means developing your food list and choosing your system preferences. 

Food List – The food list consists of every food item that you have approved for your centers. 

System Preferences and Policies – These include your state’s licensing and USDA guidelines, as well as customizable software settings designed to fit your organization’s specific needs. 

Monitors – We suggest first training your monitors to complete online claims while preforming reviews, and then using these monitors to train centers on your new process. This helps ensure your personnel are able to familiarize themselves with Minute Menu CX before bringing all providers onboard the new system.

Manual Claims – During the first few months of processing claims with Minute Menu CX, you will still handle some claims manually as more and more centers are gradually trained on how to use Minute Menu CX’s online claiming features.

Minute Menu Boot Camp – The Minute Menu training conference is a hands-on, three day training adventure. SYSTEM REQUIREMENTS

Software and Hardware Requirements
The Minute Menu CX software is installed on your computer, but all of the data you enter is stored on secure Internet servers maintained by Minute Menu. No data is stored on your computer. This means Minute Menu CX is a “thin client” application. Minute Menu CX works in much the same way as any web browser (such as Internet Explorer or Mozilla Firefox), constantly downloading and uploading information over the Internet. Unlike those standard web browsers, Minute Menu CX has been customized to meet the requirements of a system built for the USDA Food Program.

Supported Operating Systems
To install Minute Menu CX (whether in a sponsor's office or at a center), the computer must have a Microsoft Windows operating system. Specifically, the following operating systems are supported:

  • Windows XP (Service Pack 2 or Newer)
  • Windows Server 2003
  • Windows Vista
  • Windows Server 2008
  • Windows 7

Pre-Requisites
Depending upon the operating system, Minute Menu CX requires certain prerequisites (i.e., software that must be installed as part of the operating system). For example, in Windows XP, you must have Service Pack 2 installed. The pre-requisites are checked by Minute Menu CX during installation, and if any pre-requisites are not installed, the Minute Menu CX installation software will direct you to Microsoft’s web site to help you install those pre-requisites. The pre-requisites are all free and provided by Microsoft to anyone who uses Windows.

Minute Menu CX requires the Microsoft .NET 3.5 framework in order to run properly. If your computer does not already have this framework installed, then Minute Menu CX will install it for you during the installation process. The .NET 3.5 framework is also free.

Administrator Rights
Installation of Minute Menu CX requires administrator access to the Windows operating system. Our development team upgrades the Minute Menu CX thin client software frequently to enhance features and help the software run more smoothly. While administrator rights are not typically required, in some very rare cases it may be necessary to have administrator rights when these updates are installed.

Internet Access Required
Minute Menu CX requires Internet access. A dedicated connection (via DSL, cable, satellite, or some other mechanism) is preferred to dial-up, but is not required. Minute Menu CX can be used with a dial-up Internet connection, but you must be connected to the Internet while using the software. Minute Menu software also requires the ability to access web services via secure http connection (HTTPS), which may require adjustment to your office firewall or proxy server. Google Chrome, Firefox, Safari, and Internet Explorer 9 and higher are supported, with Google Chrome being the recommended browser for using the CX product.

Hardware Requirements
Because your program data is stored on our secure servers, Minute Menu CX requires only about 40 MB free hard drive space to store the software and prerequisites. You must have a computer capable of 1024 x 768 resolution display (a standard computer screen resolution), with a minimum of 1 GB of memory (RAM) and a 1GHz CPU or faster. You will need a printer if you wish to print reports from Minute Menu CX.

Software Requirements
In order for some Internet-connected features to function you must have one of the above mentioned web browsers installed. In addition, Minute Menu CX generates custom export files directly to Microsoft Excel, so we recommend that sponsors have Microsoft Excel installed in their offices to take advantage of this feature.

 

PRIVACY

The USDA Food Program requires Sponsors to record and store large amounts of information about child care centers. Sponsors use Minute Menu CX to manage that information. As a result, a great deal of information about child care centers is transmitted to and from Minute Menu CX servers.

At Minute Menu, we are very serious about protecting the privacy of confidential information on child care centers, the children they care for, and their parents. We understand that this information is personal and private in nature. As a result, we have taken every precaution to protect all Minute Menu CX data and the Minute Menu CX servers from unauthorized access.

Minute Menu CX Data Security Technology
Given the sensitive nature of the information stored in the Minute Menu CX servers, we have taken extensive precautions to protect your data. As a matter of policy, we do not comment on any of the specific tools or technologies employed behind the scenes to safeguard your data. We cannot make public the measures we have taken to prevent unauthorized access, as this could compromise the integrity of our security. However, we do comment on one tool that is publicly visible:

Data Encryption: When you use the Minute Menu CX thin client, you connect to the Minute Menu CX servers via a secure, authenticated channel using industry standard SSL encryption. This means that this data, when transmitted, can only be understood by its intended recipient - in this case, you and your Minute Menu CX software. The use of data encryption effectively prevents anyone from examining any personal data while food program claim information is recorded.

Policy on Data Privacy

The data stored in the Minute Menu CX system is done so under the direct authorization of each client sponsor. Per the agreement centers sign with their sponsors in order to participate in the food program, and per the agreement the sponsor has with the state CACFP agency, this information must be made available to state agency and federal USDA officials any time they request it. Likewise, if a sponsor requests (in writing) that we share any of this information with a third party, we are required to do so.

Beyond these situations, it is our policy never to share any of the personal information with any third party. We may share aggregated information (as an example: "in October, 10,000 centers used Minute Menu CX"), but never any specific information on any individual center or sponsor that uses Minute Menu CX.

While a great deal of information about child care centers is publicly available from a number of sources, including state child care licensing agencies, you can rest assured that Minute Menu CX is not a source where personal information can be obtained.

Policy on Data Storage

The data stored in the Minute Menu CX system is kept in a live database for a minimum of three years, so that centers, their sponsors, and state or federal auditors may review that data at any time. Beyond that, data may be kept in either the live database or an archived database. The data will be kept indefinitely, unless a sponsor specifically requests in writing that it be deleted. Only data more than 48 months old will be removed by request.

Single Site License

This option is designed for independent child care centers. Use the software without cost during the 60 day free trial period. After that, pay only $49 each month to use all of the features available in Minute Menu CX, and access our extensive online training site. Independent centers do not pay additional fees, and a term contract is not required.

Included in your monthly fee are unlimited updates to your CX software to ensure your food program remains compliant with State and Federal guidelines. This includes updates to cover annual reimbursement and poverty rates changes, and CACFP form template changes.

Quick Start Plan for Multi-Site Agencies / Sponsors

This option is ideal for small agencies and start-up businesses and includes implementation training and a free hour of support each month.

  • Annual Maintenance Fee - This $350 fee is billed annually and covers the cost of upgrading your CX software to ensure compliance with the latest State and Federal guidelines. The first year is included in your License Fee.

Premium Plan for Multi-Site Agencies / Sponsors

This option is ideal for organizations with 40 or more locations, and includes implementation training and a free hour of support each month.

  • Initial License Fee - After the 60 day trial period, you pay a one-time initial license fee of $40,000. This covers your entire agency, regardless of the number of centers you serve.
  • Monthly Cost - Your monthly cost is $27 for each center or site. (At Risk/Dual Program center claims are counted as a single claim.)
